48th Annual Spartan Service Celebration

Join us as we honor our colleagues reaching milestone years of service to San José State University at the 48th Annual Spartan Service Celebration on Thursday, October 29 at 3:00 pm in the Student Union Ballroom. The university will recognize 95 staff members with 15, 20, 25, 30, and 35 years of service. There will be a program highlighting our honorees’ contributions to SJSU, followed by a celebratory reception. In the spirit of helping and caring, there will be no fees for guests to attend the event.

Free Flu Shots Provided by Kaiser Permanente

Flu season is just around the corner.The CDC recommends a yearly flu vaccine as the first and most important step in protecting against the flu virus. We are pleased to offer free flu shots to our employees on campus through Well U’s partnership with Kaiser Permanente. The flu shots will be given Wednesday, October 21 and Thursday, October 22 in Clark 547 from 9:00 to 4:00.

You don’t need to be a Kaiser member to participate. Visit Kaiser’s Online Flu Shot Scheduler to create an account and make an appointment. Contact Julie Inouye Wong, julie.wong@sjsu.edu, for more information.

Year-End Updates and Reminders from Human Resources

In our ongoing efforts to provide the campus community with early communication, we are forwarding year-end deadlines and reminders related to payroll, absence management, recruiting, position management, international student employees, and benefits. We hope this information helps you effectively plan over the next few months.
2015 Wage and Tax Statements (W-2)
December 11: Last day to update your mailing address in PeopleSoft. In January 2016 the State Controller’s Office (SCO) will mail the 2015 Wage and Tax Statements (W-2) to employees at the mailing address on file with Human Resources. If you have had an address change during 2015, please update your personal information in PeopleSoft self service (MySJSU) to ensure it reflects your current mailing address by December 11, 2015.
Recruiting
December 8: Last day to submit a response to an Approval to Extend Offer email for an employee start date of December 14All responses must be received by 8:00 a.m. on this day.
December 11: Last day a completed Request to Recruit, including a fully-signed Position Description, can be received in order for the job to be posted by December 18Requests to Recruit received after this date will be posted in January 2016. As a reminder, a vacancy will not be posted without a signed PD.
December 14: Last new employee start date for 2015. This includes emergency hires, casual workers, and regular or temporary employees.
December 16: Last date to submit a response to an Approval to Extend Offer email for employees with a start date after January 1, 2016 in order for the offer letter to be sent before the holiday break. For responses received after this date, the offer letter will be sent to the candidate when we return to campus in January 2016.
Position Management
December 14: Last day to submit department and approval structure changes for December payroll.Changes received after this date will be processed for the January 2016 payroll.
Employment Verification Card Renewal (International Student Assistants)
December 21: Expiration date of International Student Assistants’ Employment Verification Cards (EVCs). Students must obtain a new EVC card from HR prior to continuing employment in the Spring semester. To receive a new EVC card, the student must obtain a Spring Work Permit from the International Student & Scholar Services Office (Clark Hall 543) and bring it, their Fall EVC card, and their Tower Card to Human Resources. If you have any questions, please contact your Employee Services Representative.
December Absences – Early Approval Date
December 22 - 12:00 pm: Last day to enter and approve December absences. To ensure accurate and timely pay on the January 4, 2016 payday, all absences for both salaried and hourly employees must be entered and approved no later than 12:00 pm on Tuesday, December 22, 2015.
December Campus Closure
December 31: All employees must use vacation, personal holiday or compensatory time off for theDecember 31 campus closure. Bargaining unit employees, other than 12-month faculty, should work with their manager if they do not have enough time to cover the closure date. MPPs, confidential employees and 12-month faculty are required to take leave.
Open Enrollment Changes
January 1, 2016: Date all Open Enrollment changes are effective. Please review the pay stub you receive in January (your December pay) to confirm your changes have been processed. If you have any questions regarding your open enrollment changes, please contact your benefits representative at (408) 924-2250.

“I must commend to you Candice McGee for her exceptional efforts in helping SJSU host the International Street Medicine Symposium in our MLK Library this week, Oct 14-17.

Going back to July and extending right through this week, Candice has helped us/CCLL and the local organizers, Valley Homeless Healthcare Program, meet the challenges of hosting this reputable international conference here in San Jose. (Last year it was held in Dublin!) She was even down there this morning to welcome organizers and double check the set-up.

Candice has graciously helped CCLL time and again in arranging events at the MLK, but this particular event “coordination” deserves this special commendation.”

“Wil, our student assistant, stepped beyond his normal duties to help a former student clear up a grade in order to officially graduate.  It was an issue that has been unresolved for over 2 years.  Wil displayed patience when dealing with this student who was persistent and unhappy with the bureaucracy on campus.  Wil took the time to listen to the student and understand the situation before offering help.  Wil contacted several offices that could help and continued to follow up until there was a resolution.  The student returned to our office and offered gratitude for the assistance he received from Wil and everyone else that helped him.  Wil is a fine example of what a Spartan should be.” –Anonymous
