Gilbert, April (University Library) is Stepping Beyond

“In September 2017, April Gilbert, SJSU Library’s Institutional Repository Coordinator, learned of a Columbia University effort to host a “mapathon”, an event harnessing open-source mapping of Puerto Rico for the benefit of relief agencies on the ground in the wake of Hurricane Maria. According to Alex Gil, the Columbia event’s organizer, FEMA and other agencies are having difficulties locating damaged areas in Puerto Rico due to insufficient mapping. Following the hashtag #prmapathon, April found that West Coast participation in this effort was lacking, so she began promoting it to SJSU Library colleagues as an opportunity for our for our library to collaborate with the campus community and other organizations to aid in the Hurricane Maria recovery effort. Libraries at other colleges have also followed Columbia’s lead holding similar events, including Boston University, Rutgers, University of Miami, University of Alaska – Fairbanks, Trinity College, University of Nebraska at Omaha, and now, thanks to April, San Jose State University Library on Friday, October 13, 2017. The #prmapathon events have been well attended, and have been lauded on PBS NewsHour and in The New York Times. April’s efforts have driven this library event, providing the chance for the SJSU community to join those other institutions making a difference in helping Puerto Rico’s recovery.” — Carole Correa-Morris

Changes to MySJSU/PeopleSoft Coming Soon!

Dear SJSU Community Members,

As you may know, SJSU is taking part in a Chancellor’s Office initiative to split the Campus Solutions (CS) and Human Resources (HR) modules in PeopleSoft into two separate databases. In addition, the CS module will be upgraded to application release 9.2.

The launch date for the upgrade/split in production is November 20, 2017The MySJSU/PeopleSoft system will be unavailable from the evening of November 16 through the morning of November 20 to complete the changes.

To find out more about the PeopleSoft split/upgrade, we invite you to attend one of theopen forums listed below, all held in the Student Union Theater:

  • Tuesday – October 2410:00 am to 11:30 am
  • Wednesday – October 252:00 pm to 3:30 pm
  • Friday – October 2710:00 am to 11:30 am

Planned forum topics include:

  • The timeline for the upgrade/split, including down time for MySJSU
  • Specific information about where current functionality will reside in PeopleSoft after the split for both Campus Solutions and Human Resources functions
  • Changes to functionality as a result of the upgrade to the CS 9.2 module

There will be plenty of time for questions as well. If you have any questions, please contact ESTechComm@sjsu.edu.

Nguyen, Belinda (Student) is Stepping Beyond

“I am not sure if I already submitted a Spartan Stepping Beyond recognition for Belinda, but even if I did, she is worth a second nod for all she has done and continues to do for me and BT Tech Services. I started a month ago and since before I began, Belinda has been so warm and welcoming. She has been instrumental in my progress into my new role and providing advice and guidance when needed. Beleinda is my go to person for coordinating important pieces of information. She is a natural leader and very talented. My job is easier because she is working in this department. “Francisco has been an amazing peer to me since I have started here. I came from the East Coast and have started this new job, a feat most would be overwhelmed to tackle. However, Francisco has gone out of his way to embrace, and get me acclimated to the new job and the new environment. He has guided me on certain items I have had confusion about and has been a supportive force for me during moments I was unsure. Year-End Deadlines and Reminders

As the end of the calendar year approaches, we want to remind you of some important deadlines and information.

December 11: Address Change Deadline for W2s
December 11 is the last day to update your mailing address in MySJSU (PeopleSoft) to ensure your W2 is mailed to the correct location. The State Controller’s Office will mail W2s at the end of January 2018.

December 20: Absence Entry/Approval Deadline
December 20 is the last day to enter and approve December absences. To ensure accurate and timely pay for the December pay period, all absences for both salaried and hourly employees must be entered and approved no later than 12:00 p.m. on Wednesday, December 20, 2017.

December 29: Campus Closure
The campus is closed on December 29. All employees must use vacation, personal holiday or compensatory time off for the December 29 campus closure. Bargaining unit employees, other than 12-month faculty, should work with their manager if they do not have enough time to cover the closure date. MPPs, confidential employees and 12-month faculty are required to take leave.

December 29: Paycheck Distribution
University Personnel (UPD Building/3rd Floor) will be open from 9:00 – 10:00 a.m. on Friday, December 29 for employees who wish to pick up their December paycheck. Employees must bring a photo ID and may only pick up their own check. Department contacts can pick up paychecks when the campus reopens on January 2, 2018 from 9:00 – 11:00 a.m.

January 1, 2018: Open Enrollment Validation
All open enrollment changes will be effective January 1, 2018. Please review your December pay stub to confirm your changes have been processed. If you have any questions regarding open enrollment changes, please contact your benefits representative (See Your HR Representatives for contact information).

Odisho, Alphonse (Geology) is Stepping Beyond

“Alphonse goes out of his way in helping the Department from faculty, staff, and more importantly to our students. This past summer Alphonse out did even his own resourcefulness and helpfulness. Over the summer we needed to rearrange offices to make room for new faculty coming in the Fall. Three retired and one Faculty on FERP had to be packed and moved. One new Faculty was temporarily moved to have his office painted and then had to be moved back. Alphonse helped them move back into their offices late into the evening to meet deadlines. Here are some samples of how Alphonse has stepped beyond.” — Ginny Smith

“Coming to SJSU from other institutions I was just floored by Alphonse’s dedication to making me feel at home and dropping in to check on how I was doing and if I needed anything for my lab or office. I explained how it might be nice to have a corner desk and in 48 hours, voilà, he had came up with two small desks to create a corner desk. It fit perfectly. I teased him of course for being 1 millimeter off.”  — Dr. Ryan Portner

“Taking on field camp was a big challenge for me and I literally would not have been able to do it without his help. Everything and more I could have think of was in a box and organized so nicely. I only wish we could have given the box back to him in a similarly organized fashion. On top of all of this,  Alphonse is just a fantastic person with a wonderful heart and it has been great getting to know him.” — Dr. Ryan Portner

“For more than 25 years, Alphonse Odisho has provided invaluable support for my students and me. Knowing that I can always count on Alphonse when I need something for class or a research student who needs help with preparing their rock samples for analysis makes my job easier and supports student learning and their progress towards graduation. No matter how busy he is, Alphonse is ever willing to assist , and his efforts make the Geology Department a better place.” — Dr. Ellen Metzger

“The sum of the little things Alphonse has done for me that has made a big difference:

  • I got a desk with no drawers – Within an hour, I had a small locking file cabinet to use.
  • Needed space to organize samples on a lab bench – a shelf appears.
  • Ergonomic issues with chair (feet not touching floor, but chair height appropriate for lab surface – a wooden box to rest feet on appears.
  • New desk with not much storage – another shelf appears.

I always say it’s no hurry and he always has my issue resolved within hours. I know how many things he has to do, and yet he manages to make so many people feel like a priority. I would imagine there are hundreds of examples like mine, if not literally thousands.” — Kirsten Bella-Pratt

“Alphonse is always doing at least half a dozen things at once to keep the department running! Despite being so busy, he will always answer questions and helps with requests as they are brought to him. He helps everyone in the department, from undergraduates to professors, keep labs in order, equipment operating, and items moving from place to place. :)” — Megan McEvers

“I was gone all summer. I had a hectic summer at that. I knew I wouldn’t be using the office anymore and that my desk probably needed to be cleaned out. I thought to myself that it was going to be a difficult task since there was a lot in the desk. Unfortunately, I didn’t get around to cleaning out my desk before the new semester. However, Alphonse had taken the time to perfectly pack up my desk contents for me in a neat way so it would be easier when I was able to make it there. It only took about 10 mins for me to go through the nicely packed box whereas if my desk wouldn’t had already been packed it would have taken me close to an hour. He didn’t have to be so organized about it but instead he took his time to nicely pack my stuff up. I am not sure but I am betting most people don’t take that sort of time out of their day to do that. I am thankful to him for that but also he has always been there to help whether it was to fix a desk or to move something he goes far beyond what most people do just to help. And therefore to me, Alphonse is definitely a Spartan who steps beyond.”                      — Stephanie Meursing

Executive Order 1083 – Mandated Reporter Information

CSU Executive Order 1083 as recently revised to update the requirements for the mandated reporting of child abuse and neglect under the California Child Abuse and Neglect Reporting Act (CANRA). Prior to the revision, all employees were considered mandated reporters with the obligation to report abuse or neglect no matter where it occurred. The revised Executive Order now contains two reporting categories: General and Limited. A general description for each type of reporter is below. Attachments A & B of the Executive Order provide additional information about the designation of reporters and the reporting requirements for each.

General Reporters are required to report child abuse and neglect regardless of where the incident occured. Employees considered General Reporters include (please note, when Staff is referenced, student employees are included):

Athletic Administrators, Coaches and Staff
Child Care/Day Care Administrators and Staff
Employees who Staff Summer Camps, Workshops, or Clinics
Employees who Provide Services for Children (e.g. Upward Bound)
EOP Staff
Orientation Staff
Physicians, Nurses, Psychologists, Social Workers,
Clinical Counselors, Therapists, etc.
Residence Hall Staff
Student Life Staff who Participate in Overnight Programs
Summer Bridge Coordinators and Residential Staff
Teaching Associates
University Police and Department Staff

Limited Reporters are required to report only if the incident occured on CSU property or at a CSU sponsored event. All other employees not referenced above, as well as all volunteers, are considered limited reporters.

All current employees must sign a new acknowledgement form, based on their designation. These forms were sent via DocuSign on January 24, 2018 and must be signed no later than January 31, 2018. New employees will sign the appropriate acknowledgement form as part of their new hire paperwork.

Training is now available via Skillport and while not required, all employees are encouraged to complete the short online class to better understand the reporting requirements and processes. The course title is Mandatory Reporting of Child Abuse and Neglect.

Please note, these requirements apply only to state employees, not employees of auxiliary organizations.

“After HR Orientation, I visited Parking Services to purchase a permit. As an employee at the Athletics Department, I was unsure if purchasing an employee lot permit or Park & Ride permit was best. Anthony went out of his way to explain to me the price breakdown and benefits of each type of permit. Upon selecting the Park & Ride permit, he gave me tips (such as parking close to the Athletics Department Building to avoid parking between students) to have a better experience in the long run. He also provided reassurance of being able to come back to him to purchase the employee lot permit, if I knew I would be on campus more. Lastly, he explained what were the steps I would take moving forward to ensure parking ease.” — Khristine Lugo

We have been working on this in the Business School for the past several months, and he has been patient, kind and extremely helpful.
